1. Purpose

Court De Padel is committed to recruiting people who are suitable, competent and committed to providing a safe and positive environment. This policy sets out the steps the club will take to reduce safeguarding risks during recruitment and appointment.

2. Scope

This policy applies to employees, coaches, volunteers, contractors and other individuals appointed to roles at Court De Padel. Additional checks and safeguards will apply to roles involving children or adults at risk.

3. Safer Recruitment Principles

– Recruitment decisions will be based on suitability, skills, experience, qualifications and the requirements of the role.
– Safeguarding responsibilities will be considered when creating and advertising relevant roles.
– Candidates will be informed where a role is subject to safeguarding checks.
– The club will take reasonable steps to verify identity, qualifications, experience and employment history.
– Recruitment information will be handled confidentially and in accordance with applicable data protection requirements.

4. Application and Interview

– Applications should provide sufficient information to assess a candidate’s suitability for the role.
– Gaps or inconsistencies in employment or volunteering history may be explored during the recruitment process.
– Interviews should assess not only technical ability but also attitudes towards safeguarding, equality, inclusion and professional conduct where relevant.
– Candidates for roles working with juniors should be asked appropriate safeguarding-related questions.

5. References and Background Checks

Where appropriate to the role, Court De Padel will obtain references before appointment and may verify employment, qualifications or relevant experience.

Roles involving regulated activity with children will be assessed for the appropriate DBS or criminal record check. The level of check will depend on the duties of the role and current legal requirements. A DBS check will not be treated as the only safeguarding measure.

6. Coaches and Junior Activities

– Coaches working with children must meet the club’s requirements for appropriate qualifications, safeguarding training and background checks.
– External coaches and coaching providers must demonstrate that their safeguarding and recruitment arrangements are appropriate before working with juniors at the club.
– Where a coach is awaiting a required check, the club will not allow them to undertake duties that require that check unless lawful and appropriate safeguards are in place.

7. Safeguarding Information Identified During Recruitment

If recruitment checks identify information that raises a safeguarding concern, Court De Padel will assess the information carefully and may seek appropriate advice before making an appointment. A decision will be based on the role, the information available, relevant legal requirements and the safety of club users.

8. Induction and Probation

– New staff, coaches and volunteers will receive appropriate induction before undertaking their duties.
– Safeguarding, conduct, inclusion, health and safety, and other relevant club policies will be explained during induction.
– Where applicable, new appointments will be subject to a probationary period and appropriate supervision.
– Any concerns identified during probation will be addressed promptly.

9. Ongoing Suitability

Safe recruitment continues after appointment. Court De Padel will address concerns about conduct, safeguarding or suitability promptly, and will review relevant checks, training and accreditation when required.

10. Confidentiality and Data Protection

Recruitment and safeguarding information will be stored securely and accessed only by authorised individuals. Personal information will be processed and retained in accordance with applicable data protection law and club procedures.

11. Concerns About a Staff Member or Coach

Any allegation or concern about a staff member, coach or volunteer must be reported promptly in accordance with the Court De Padel Safeguarding Policy. The club will take appropriate action to protect participants while ensuring that allegations are handled fairly and confidentially.

12. Review

This policy will be reviewed at least annually, or sooner following a significant safeguarding concern, a change in legislation or guidance, or a change to the club’s staffing or activities.
