1. Purpose
Court De Padel welcomes photography and filming that celebrates the club, its members and the sport of padel. This policy ensures that images and recordings are created and used responsibly, with respect for privacy, dignity and safeguarding.
2. Scope
This policy applies to all members, guests, children and young people, parents and carers, staff, coaches, volunteers, contractors, photographers, videographers and visitors at Court De Padel.
3. General Principles
– Photography and filming must be respectful, appropriate and connected to a legitimate personal, sporting or club purpose.
– People should not be photographed or filmed in a way that is intrusive, humiliating, sexualised or intended to cause harm.
– Users should respect requests from individuals who do not wish to be photographed or filmed.
– Commercial, professional or organised filming requires prior permission from Court De Padel management.
– Images or recordings must not be used in a way that misrepresents, embarrasses or places an individual at risk.
4. Children and Young People
Court De Padel takes particular care when photography or filming involves anyone under 18.
– Appropriate consent from a parent or carer should be obtained before identifiable images of children are used for club publicity, marketing or social media.
– Children should be photographed or filmed in suitable sporting contexts and appropriately dressed for the activity.
– Images must never be sexualised, suggestive, humiliating or otherwise inappropriate.
– Where children are participating in organised sessions, the club should make clear when photography or filming is taking place.
– A child who does not wish to be photographed should be respected.
5. Changing Rooms, Toilets and Private Areas
Photography and filming are strictly prohibited in changing rooms, shower areas and toilets.
– Mobile phones, cameras and recording devices must not be used to photograph or film in these areas.
– No images or recordings may be taken through doors, windows or other openings into private areas.
– Any suspected inappropriate photography or filming must be reported to Court De Padel management immediately and may be treated as a safeguarding or criminal matter.
6. Staff, Coaches and Official Club Content
– Staff and coaches must follow club procedures when taking or commissioning photographs or video.
– Official club content should only be captured and published for legitimate club purposes.
– Images involving children must follow the club’s consent and safeguarding arrangements.
– Staff must not use photography or filming as an excuse for unnecessary or inappropriate contact with participants.
– Personal devices should only be used for club photography or filming where this is authorised and appropriate.
7. Members and Visitors
– Members and visitors may take reasonable photographs or short recordings of themselves and their sporting activity, provided other people’s privacy is respected.
– Do not deliberately record another person without appropriate permission where they have a reasonable expectation of privacy.
– Do not photograph or film people who have asked not to be recorded.
– Do not record incidents, injuries or distress for entertainment or social media purposes.
– Do not upload or share images of others in a harmful, discriminatory, humiliating or inappropriate manner.
8. Social Media and Publication
– Court De Padel will take reasonable care when selecting images for its website, social media and promotional materials.
– Identifiable images of children should only be published where appropriate consent and safeguarding arrangements are in place.
– Names and other personal information should not be unnecessarily included with images of children.
– Anyone who asks the club to remove an image on a valid privacy or safeguarding basis will have the request considered promptly.
9. Drones and Professional Equipment
Drones, large-scale filming equipment and professional photography equipment may only be used with prior approval from Court De Padel management, and must comply with applicable safety, privacy and aviation requirements.
10. Reporting Concerns
Concerns about inappropriate photography, filming, image sharing or consent should be reported to Court De Padel management. Concerns involving a child or an adult at risk will be handled under the Court De Padel Safeguarding Policy.
If there is an immediate risk of harm or suspected criminal activity, contact the police or emergency services as appropriate.
11. Breaches of This Policy
Court De Padel may take proportionate action where this policy is breached. This may include asking for content to be deleted, removing a person from the premises, restricting photography or filming, suspending or terminating membership, or referring the matter to the police or the relevant safeguarding authority.
12. Review
This policy will be reviewed at least annually, or sooner following a significant incident, a change in legislation or guidance, or changes to the club’s activities or facilities.
